If you’ve ever run a business, you know that time is the one thing money can’t buy more of. And yet, in many companies, the executive team wastes hours, and sometimes days, on work that could be automated, streamlined, or simply done smarter.
Back in 2021, when I owned TVOne, we faced exactly that problem.
The Problem: Squandering an Entire Day to Prep for a One-Hour Meeting
Under a C-suite executive, preparing for a weekly one-hour sales and operations meeting was a nightmare. Every week, the team would:
Pull saved searches from NetSuite.
Manipulate the raw data manually because it wasn’t in exactly the format they wanted.
Export everything to Excel.
Add columns, rows, fix formulas, and correct errors—often multiple times.
Repeat for multiple searches, just to make the numbers align.
By the time the report was ready, the executive team had already spent nearly a full day generating data for a one-hour meeting.
The worst part: losing scarce time the executive team could have spent thinking about growth, strategy, or solving high-value problems. Instead, they were trapped in Excel hell, every single week.
The Opportunity: Rethink the Process
When the executive left, we had a chance to do things differently. Rather than trying to “fix” NetSuite, we asked:
What data is truly needed to make decisions during the meeting?
Who really needs to create the report?
How can we bring this information together efficiently using the data already available
The answer: leverage existing data within NetSuite plus external sources, optimize it for the workflow, and make it actionable. Also, the person running the meeting didn’t need to be an executive. It just needed to be someone who understood the business and could use the data intelligently.
The Solution: Data Optimization, Visualization, and Process Improvement
We applied three core principles:
Data Optimization – Instead of manipulating raw exports, we brought together the relevant NetSuite data with other sources, transforming it into a ready-to-use workflow.
Visualization – The data was structured into a pivot table that clearly highlighted KPIs, making trends, exceptions, and action items instantly visible.
Process Improvement – The warehouse manager responsible for the meeting could now simply hit refresh on their pivot table. What used to take nearly a full day took only about 15 minutes. Also, the team could update information every hour if needed, giving near real-time accuracy.
The Result: Faster, Smarter, Actionable Reports
After implementing the new process:
Reports that used to take a day now took only 15 minutes.
KPIs were more actionable and decision-makers immediately saw where attention was needed.
Strategic time for leadership was no longer wasted on manual data work.
Meetings became more effective because discussion focused on problems and opportunities, not fixing numbers.
Lessons for SMB Leaders
Who should really own the report? Give ownership to someone with practical knowledge and the right tools. The highest-paid person in the room often doesn’t need to be doing this work.
What data drives decisions? Focus only on metrics that prompt action. Stop collecting data for the sake of collecting data.
How can the process be simplified and automated? Use visualization tools. Simple pivot tables or dashboards can save hours every week and give near real-time insights.
Saving time isn’t just about efficiency; it’s about the freedom to think strategically.
Final Thoughts
Business reporting doesn’t have to be a punishment. When data is optimized, structured, and integrated thoughtfully, what once took a full workday can become a 15-minute routine that drives better decisions.
It’s not about changing the system. It’s about using data smarter, empowering the right people, and enabling leadership to spend time on what matters most: value creation.
